Locked Admin Questions
Locked Admin Questions allow app builders to protect specific questions and groups in the Form Builder. Once locked, these items cannot be edited, moved, or deleted by users who do not have the advanced Locked Questions permission.
This feature is useful when you want to preserve important form logic, structure, or question mappings while still allowing other users to make limited edits to the application.
User role permission
The permission to lock and unlock questions is called Allow locking and unlocking questions in forms.
This permission only becomes available for roles that already have Edit Applications permission. To enable it, assign this permission to the appropriate role in your project space.
We recommend giving this permission only to highly trusted roles and users, since it allows them to control which parts of a form can be edited by others.
How to lock questions
Users with the locked questions permission will see a Locked setting for every question and group in the Form Builder.
To lock a question or group, check the Locked checkbox.
What Happens When a Question Is Locked
Once a question is locked, a lock icon appears next to the question name in the Form Builder.
The following restrictions then apply:
Question properties are disabled and the question cannot be moved or deleted. For a multiple choice question, its choices are also locked and cannot be edited, moved, or deleted.
Case property mappings referencing a locked question cannot be created, edited or deleted.
Bulk application translations uploaded for locked questions are skipped and display an error message.
Locking groups
Groups can be locked in the same way as individual questions, but they behave slightly differently.
When a group is locked or unlocked, the change is automatically applied to all questions and sub-groups inside it. However, individual questions or sub-groups can still be locked or unlocked separately afterward.
If a locked group contains any unlocked questions or sub-groups, it will display a different icon to show that only some items inside the group are locked.
A group that contains any locked questions or sub-groups cannot be moved, deleted, or have its Question ID changed. This is because those actions would affect the path of the locked questions or sub-groups inside it.
Users without the locked questions permission
Users who do not have the locked questions permission are subject to the restrictions above. They will also see the following limitations:
A notification appears when they view a locked question in the Form Builder.
Edit Source XML is unavailable for forms containing locked questions.
Edit Bulk Translations is unavailable for forms containing locked questions.
Upload XForm is disabled in the form’s actions menu for forms containing locked questions.
